Inventory by location: define what each quantity describes

Keep location, source quantity labels and observation times together. A Marine Layer reference explains why an inventory snapshot needs a defined scope.

NewStore’s Marine Layer case reports store-inventory management and enterprise available-to-promise data supporting store fulfilment. The provider describes its own retail implementation.

A quantity in a delivered file needs an equally explicit meaning. The worksheet below is a PandaBuyNow proposal for interpreting marketplace observations or a recipient-supplied file. It does not establish the stock currently available for a new order.

Keep the location beside the original quantity label

Record the source page or file reference, product or selected variant, location identifier and visible location label. Retain the original quantity label, value and unit. A local delivery-row key can help trace the observation while remaining distinct from the source’s location identifier.

Ask which measure the recipient needs to interpret: physically held stock, a source’s stated available quantity or another defined value. Keep any stated reservations or safety-stock figures as separately labelled fields. Do not explain a difference between quantities without evidence of the rules behind them.

Test a fictional two-location snapshot

Consider invented item LAMP-B. A source file lists East with 12 on hand and 7 available. West has 5 on hand but no available quantity. Retain both locations and both definitions. The file supports 17 recorded on-hand units; it does not support 17 units available to order.

East’s stated update time is 14:05 and its collection time is 14:12. Preserve both times and the timezone where known. West has no stated update time, so that field stays unresolved. These invented figures describe no Marine Layer or PandaBuyNow inventory.

Agree aggregation and time limits before using the file

Review a sample containing a location match, an unclear quantity definition and a missing timestamp. Specify any aggregation rule and its scope. Confirm that the rows concern comparable products, units and observation periods before combining them. Keep unresolved definitions in the quality notes. An aggregation note should identify the included locations, compatible definitions and differing timestamps. Keep a blank availability value distinguishable from an explicit zero.

For a PandaBuyNow discussion, provide representative links or source-file samples, location labels and the quantity fields your team needs. Agree feasible observations, timing and JSON or CSV structure through the sample. Deliver field definitions and source references beside the quantities so the recipient can judge how the snapshot supports its own decisions.
